Greater Than Gravity LLC d/b/a Kiddo ("Kiddo," "we," "us," "our") provides software that childcare centers use to manage inquiries, waitlists, tours, applications, enrollment, communications, and payments. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have.

This policy covers joinkiddo.com, app.joinkiddo.com, help.joinkiddo.com, help-families.joinkiddo.com, portal.kiddosoftware.com, and related services (the "Services").

The two roles Kiddo plays

Understanding which role applies to your information determines who controls it.

Kiddo as a service provider (processor):

When a childcare center uses Kiddo to manage its waitlist, applications, and families, the Center decides what information to collect and how it is used. Kiddo processes that information only on the Center’s instructions. This includes information about children, parents, and guardians submitted to a Center. If you are a Parent and want to access, correct, or delete information a Center holds about you or your child, contact the Center directly — they control it. We will help them respond. Our handling of this information is governed by our Data Processing Agreement with the Center.

Kiddo as a controller:

For a narrower set of information, Kiddo decides how it is used: Center account and billing information, information from people who contact us or visit our marketing site, and product analytics we use to operate and improve the Services. This policy governs that information.

Information we collect

  • Account information – name, email address, phone number, job title, Center name and address, and login credentials for Center administrators and staff. For Parents who create accounts, name, email, and phone number.

  • Information Centers and Parents submit about families – child name, date of birth, requested start date, program or classroom preference, and enrollment status; parent and guardian names, contact details, and relationship to the child; waitlist position, tour bookings, application responses, and enrollment records; messages exchanged through the Services. We process this on the Center’s behalf.

  • Health and related information about a child – where a Center chooses to collect it, this may include allergies, dietary restrictions, and special needs recorded on an application, and documents a Center requests from families such as immunization records, health forms, physician’s reports, and emergency cards. Centers decide what they ask for; Kiddo stores and transmits this information on the Center’s behalf and does not use it for any purpose other than providing the Services.

  • Documents families upload – files submitted in response to a Center’s document request. Depending on what the Center requests, these may include birth certificates and, where a Center participates in subsidy or assistance programs, income documentation.

  • Payment information – payments are processed by Stripe, Inc. Card details are transmitted directly to Stripe. Kiddo does not collect or store full payment card numbers. We retain transaction records — amount, date, status, and the last four digits of the payment method — to show payment history and support reconciliation.

  • Usage and device information – pages and screens viewed, features used, actions taken in the Services, referring URLs, IP address, browser and device type, operating system, and approximate location derived from IP address.

  • Session replay – we use PostHog to record interactions with the Services, including clicks, navigation, scrolling, and page content, to diagnose usability problems and reproduce reported bugs. See our Cookie Policy for detail and for how to control this.

  • Error and diagnostic information – when something goes wrong, we capture technical error details through Sentry and PostHog, including the page you were on, your browser and device, and the technical context of the error.

  • Advertising and marketing measurement data – when you visit our marketing website, advertising technologies from Google, Meta, LinkedIn, and TikTok may set identifiers and record that you viewed a page or took an action such as starting a signup. This is used to measure our advertising and to reach childcare centers who have shown interest. You can opt out — see Your privacy choices.

  • Communications with us – messages you send to support, and information you provide in demo requests, sales conversations, or feedback.

How we use information

We use personal information to:

  • provide, operate, secure, and maintain the Services;

  • create and administer accounts and authenticate users;

  • process payments and maintain transaction records;

  • send transactional and service messages, including waitlist, tour, application, and enrollment notifications that Centers configure;

  • provide customer support and respond to requests;

  • diagnose, debug, and fix technical problems;

  • understand how the Services are used and improve features, workflows, and performance;

  • send marketing communications about Kiddo to Center administrators and prospects, subject to the opt-out described below;

  • detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Use; and

  • comply with legal obligations and enforce our agreements.

We do not use children’s personal information for advertising, and we do not build advertising profiles of children.

Health information receives additional care. Where a Center collects health information about a child through Kiddo, we process it only to provide the Services to that Center. We do not use it for analytics, marketing, product development, or any secondary purpose, and we do not disclose it except to the Center, to the service providers listed below who process it on our behalf, or where required by law.

How we share information

  • With the Center you interact with – information a Parent submits through a Center’s waitlist, tour, or application flow is shared with that Center. That is the purpose of the Services.

  • With service providers – we share information with vendors who process it on our behalf under written confidentiality and data protection obligations. Our current providers include Stripe (payments), Vercel (hosting), Supabase (database and authentication), SendGrid (transactional and workflow email), Google Workspace (direct email correspondence), PostHog (product analytics, session replay, error tracking), and Sentry (error monitoring).   • For legal reasons – we may disclose information where we believe in good faith it is necessary to comply with law or legal process, to enforce our Terms of Use, to protect the rights, property, or safety of Kiddo, our users, or the public, or to investigate suspected fraud or a security incident.

  • In a business transfer – if Kiddo is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We will provide notice as required by law.

Advertising platforms. On our marketing website we use advertising and conversion technologies from Google, Meta, LinkedIn, and TikTok. Information about your visit — such as pages viewed and actions taken, along with an advertising identifier — is shared with those platforms so we can measure our advertising and reach childcare centers who have shown interest.

We do not sell personal information for money. However, under California and other state privacy laws, the use of these advertising technologies is treated as "selling" or "sharing" personal information for cross-context behavioral advertising. We tell you this plainly rather than relying on the narrower everyday meaning of "sell." You have the right to opt out at any time — see Your privacy choices, or the "Do Not Sell or Share My Personal Information" link in our footer. We honor Global Privacy Control signals automatically.

Children's and families' information is never part of this. Advertising technologies run on our marketing website only — not inside the Kiddo application. We never use information about a child or family that a Center submits through the Services for advertising, never share it with advertising platforms, and never use it to build advertising profiles. That information is processed only to provide the Services to the Center.

Children’s privacy

The Services are directed to childcare centers and to parents and guardians — not to children. Children under 13 cannot create Kiddo accounts, and we do not knowingly collect personal information directly from children.

Information about a child reaches Kiddo only when a Parent, guardian, or Center submits it. Centers are responsible for obtaining any parental consent required by the Children’s Online Privacy Protection Act (COPPA) or other applicable law before submitting a child’s information, and for providing required notices to families.

If we learn that we have collected personal information directly from a child under 13 without the consent required by COPPA, we will delete it promptly. If you believe a child has provided us information directly, contact support@kiddosoftware.com.

Your privacy rights

Depending on where you live, you may have the right to:

  • know and access the personal information we hold about you and how we use it;

  • correct inaccurate personal information;

  • delete personal information we hold about you;

  • obtain a portable copy of personal information you provided to us;

  • opt out of the sale or sharing of your personal information for targeted advertising — you can exercise this immediately at Your privacy choices, and we honor Global Privacy Control signals automatically;

  • limit the use of sensitive personal information, where applicable law provides that right; and

  • not be discriminated against for exercising any of these rights.

How to exercise them:

Email support@kiddosoftware.com. We will verify your request, typically by confirming control of the email address associated with your information, and respond within the timeframe applicable law requires. An authorized agent may submit a request on your behalf with proof of authorization.

Important: if your request concerns information a Center holds about you or your child, contact that Center. They control it; we act on their instructions. We will assist the Center in responding.

Appeals:

If we decline your request, you may appeal by replying to our response with the reasons you believe the decision was incorrect. Where required by your state’s law, we will inform you how to contact your state attorney general if your appeal is denied.

Your choices

  • Marketing email – you can unsubscribe from Kiddo marketing email using the link in any such message, or by emailing us. You cannot opt out of transactional and service messages necessary to operate your account.

  • Communications from Centers – notifications a Center sends through Kiddo are configured by that Center. To change or stop them, contact the Center or use the preference controls in the message where available.

  • Advertising – use the "Do Not Sell or Share My Personal Information" link in our footer, or visit Your privacy choices, to opt out of advertising cookies and of the sharing of your information for cross-context behavioral advertising. We also honor Global Privacy Control signals automatically.

  • Cookies, analytics, and session replay – see our Cookie Policy.

  • Account deletion – Center administrators may request account deletion through the Services or by emailing support. Parents may request deletion of their Kiddo account, though Centers may retain records they are required to keep by law or licensing requirements.

Data retention

We retain personal information for as long as needed to provide the Services, and afterward as required for legal, tax, accounting, audit, or dispute resolution purposes. Information we process on a Center’s behalf is retained according to the Center’s instructions and the terms of our Data Processing Agreement. When information is no longer needed, we delete it or de-identify it.

Security

We use technical and organizational measures designed to protect personal information, including encryption in transit and at rest, role-based access controls, authentication requirements, logical separation of each Center’s data, access logging, and ongoing review of our security controls.

No system is completely secure. Keep your login credentials confidential, and tell us immediately at support@kiddosoftware.com if you believe your account has been accessed without authorization.

Where we operate

Kiddo is based in the United States and processes and stores personal information in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy with a revised "Last Updated" date, and for material changes we will provide notice by email or through a prominent in-app notification.
